Notes and Annotations

In the WorshipTools Charts app, Editors and Admins can leave notes on a song for all team members to see. Additionally, each user, regardless of their permission level, can mark up their own song sheets with the Annotations feature. Read on to learn more about these features.


Service Item Notes

Service item notes are notes that can be added to service items in WorshipTools Charts and Planning for the entire team to view. They are saved to the service, not to the song, so, before you start adding notes, you'll need to create a service and have some songs in the setlist.

To add a note, open up a service and have the service setlist open on the left. Click Reorder, then tap the edit icon (paper and pen) to the right of the song you'd like to add the note to. Type your note under the Notes section and Save.

You'll see a preview of the note under the song in the setlist. To view the full note, open the song chart/sheet and tap (or click) anywhere on the page. The note should appear at the bottom of the screen. Tap again to dismiss the note. Anyone on the team can open the service and tap the song page to see the note.

You must be an Editor or higher to add notes.

Annotations

Annotations are notes that you can make directly on your song sheets. To make annotations, click the pencil icon in the upper right corner of the screen when you have a song open. Your annotation tools will appear in the bottom right side of the screen. There is a color picker and three main annotations tools to choose from. Draw, highlight, and add text to your sheet however you'd like to.

If you need to remove a marking, you can either click the undo button (the curved left-facing arrow), or use the selection tool to select the objects you'd like to remove and hit the trash can icon. The X button at the bottom clears everything off the page for a blank slate.

To exit the annotations editor with your new markings, click the Save button in the very upper right corner of the screen. To exist without saving your changes, click the left arrow in the upper left corner of the screen.

Annotations are unique to each individual and cannot be printed or shared with other team members, but will sync across multiple devices signed into the same user. Annotations are saved to the song and will reappear on the sheet anytime the song is added to another service. Annotations will also sync across CCLI SongSelect® song sources, so, for example, markings made on the SongSelect chord chart will also appear on the SongSelect Lead Sheet. To work around this, you can import one of the materials as a PDF instead.
